Our most important asset is our relationship with our user community. We are committed to maintaining the confidentiality, integrity, and security of our users’ information.

By accessing or using any of our services, including Portals, Channels, News Feeds, Profiles, Learning, Instant Messages, together with other services and platforms operated by us and any related services, tools or applications (all, “Services”), you accept and agree to the practices described in this Privacy Policy.

‍This Privacy Policy explains how we collect, use, protect, and disclose your personal information. As used in this policy, “Personal Data” means information that would allow a party to identify you such as, for example, your name, address or location, telephone number or email address. This Privacy Policy also explains our commitment to you with respect to our use and disclosure of non-personal browsing and site usage data that we collect as the provider of the Services.

‍We may collect Personal Data through our Services, including without limitation:

• when you subscribe to, or provide Personal Data through your use of, one of our news feeds, Channels, group chat, surveys, Learning Modules, instant messages, special notifications, email, app, and web notifications or related services;
• when you create a user profile;
• via cookies used to track logins, sessions, and collect anonymous traffic;
• payments to us, including payments via PayPal, Stripe or other payment services as required or applicable;
• registration or connection via your logins and APIs such as LinkedIn, Facebook and Google; and
• IP addresses, URLs visited, and related information recorded for all site visitors for the purpose of site traffic analytics and captured as part of normal operation in our server logs.

What We Do with Personal Data

• provide and maintain our Services;
• notify you about changes to our Services;
• allow you to participate in interactive features of our Services when you choose to do so;

Disclosures of Personal Data

In general, it is not our practice to disclose Personal Data to third parties. We may share your Personal Data in two instances:

1. We may share Personal Data with Private Portal administrators, our contractors and other service providers to maintain, enhance, or add to the functionality of the Services.
2. We may disclose your Personal Data to third parties as reasonably necessary to: (a) take action regarding suspected illegal activities; (b) enforce or apply our Terms of Use, Privacy Policy and Private Portal Agreement; (c) comply with legal process, such as a search warrant, subpoena, statute, or court order; or (d) protect our rights, reputation, and property, or that of our users, affiliates, or the public.

Storage of Data

Information we hold about you, including Personal Data, may be maintained on computers located outside of your state, province, country or other governmental jurisdiction. The data protection laws that apply where the data is stored may differ from those from your jurisdiction. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and the laws applicable where the data is stored. We may, at our discretion, change the location where your data is stored, including to a different country. In such circumstances, we will never transfer your Personal Data to an organisation or a country without ensuring adequate controls for the security of your data.

‍Security of Personal Data Collected via the Services

We take reasonable measures to protect against unauthorised access to, and unlawful interception or processing of, Personal Data that we collect and store. However, no technology provider can fully eliminate security risks and third parties may circumvent our security measures to unlawfully access our systems. Where required by law, we will inform authorities and any affected individuals of an eligible data breach. 

Privacy for Private Portals

We may offer custom branded applications for selected clients, called “Private Portals”, that are hosted and managed by those clients through a licence from us. While we do not operate or manage Private Portals, we provide upgrades, backups and maintain security certificates, where required. Otherwise, the security of the Private Portal and Personal Data collected through it are the responsibility of the client operating that portal. Consequently, supplemental privacy terms (“Supplemental Privacy Policy Terms”) may apply to such a Privacy Portal. Any such Supplemental Privacy Policy Terms must be made available by the portal operator to all users of the portal.

Analytics

We may use third-party service providers to monitor, support, and analyse the use of our Services.

Google Analytics

Google Analytics is a web analytics service that tracks and reports website traffic. Google uses the data collected to track and monitor the use of our Services. This data may be shared with other Google services. Google may use the collected data to contextualise and personalise the ads of its own advertising network. You may opt-out of Google Analytics by installing the Google Analytics opt-out extension to your web browser, which prevents the Google Analytics from tracking your web activity. YouTube API Services

Coursebox uses YouTube API Services to provide video-related features and integrations within our platform. Our integration with YouTube may allow us access your YouTube data, with consideration of the following:

1. Data Access and Usage

As part of our use of YouTube API Services, Coursebox may access and collect certain user data, including but not limited to:

• YouTube video titles, descriptions, and metadata
• Channel information (such as name, ID, and thumbnails)
• Playlist details
• Video IDs and playback information

This data is used solely to enable functionality within Coursebox, such as embedding videos in courses or retrieving video/channel data for educational content creation. We do not use this data for advertising or resell it to third parties.

2. Data Storage and Sharing

User data retrieved from YouTube is stored securely and only used internally to support our platform features. We do not share YouTube-related user data with external third parties unless required by law or with the user’s explicit consent. If we allow third parties to serve content (e.g., embedded YouTube videos), those services may collect additional information per their own privacy policies.

3. Cookies and Tracking

Coursebox may use cookies and similar tracking technologies to enhance your user experience and analyse site usage. Third-party services (like YouTube) embedded in our platform may also use cookies or similar methods in accordance with their own policies.

Other Third-Party Providers

We may use other third-party providers for analytics or AI support of the Services. For more information about those providers and links to their privacy practices, please contact us as set out at the end of this Privacy Policy.

Children

‍The Services are not directed at children under the age of majority in their jurisdiction (i.e., In Australia the age of majority is 18). We will never knowingly request Personal Data from anyone under the age of majority without requiring parental consent. Our Terms of Use prohibit anyone using our Services from submitting any personally identifiable information about persons under the age of majority. Any person who provides their Personal Data to us through the Services represents that they have reached the age of majority. If we become aware that we have collected Personal Data from a child without verification of parental consent, we take steps to remove that information from our platform.

Links to Third-Party Sites

The Services may include links to other websites. You should consult the respective privacy policies of these third-party sites. Coursebox accepts no responsibility for compliance with third party privacy policies unless and to the extent we express to the contrary in writing.

Special Note to International Users

‍Our privacy practices may vary among the countries in which we operate to reflect local practices and legal requirements (“Applicable Data Protection Laws”). According to Applicable Data Protection Laws, you may be entitled to know the identity of your “Data Controller” (i.e., the legal entity which determines why and how your personal data is processed). In most cases, this will be Coursebox. In the event a related entity of Coursebox is responsible for processing your Personal Data as a Data Controller we will make you aware of this when you purchase the relevant product or service from us.

Our Services and Personal Data are predominantly hosted in Australia. However, Private Portals may be hosted in particular countries if requested by the owner of that Private Portal. Where there is a Private Portal hosted outside Australia, it is the responsibility of the portal owner to inform the users of that platform of its hosting location.

We use cookies, which are alphanumeric identifiers in the form of text files that are stored on your computer, to:
