The Challenge

Every new unit took three days to build

HITsa's instructional designers used to spend about three days researching and writing every new unit before a student could use any of it. A standard unit took 30 hours to build. Larger childcare modules ran past 90. HITsa produces dozens of units a year across a wide range of trades, so that time added up very quickly.

Administration was just as heavy. The systems and process manager and their team tracked student enrolments and outcomes across several sites. It took four staff members a full 20% of their week, every week. Most of this work was manual data entry and reconciling records between two systems that did not talk to each other.

AI course building and a custom SMS integration

HITsa moved to Coursebox's Business plan for both content production and student administration. Two things made the biggest difference.

AI course building

The instructional designer uploads source material and Coursebox turns it into structured course content. That took unit creation from 30 hours down to about 10. The team has since started using AI assessment creation as well, which is pushing the total saving per unit toward 80%.

Custom SMS integration (JobReady)

Coursebox connects directly to HITsa's Student Management System (JobReady), so the manual data entry that used to eat hours each week is gone. Enrolment updates, outcomes, and learner access now sync on their own. Their previous platform needed clumsy workarounds for the same thing.

What's next

Rolling AI assessments out across every unit

HITsa has already put new programs on Coursebox, including an RSA course whose first cohort of 15 students all completed. Next, the team wants AI assessment creation running across every unit, which they expect will take the time saving from 67% to 80%.

The JobReady integration that drove most of the admin savings is also the starting point for automating more of their process work across sites.
